As an important way of communication, Business English Correspondence plays an important role in Foreign Trade. Therefore, to master the principles and skills of writing business letter is the foundation for successful transactions. IntroductionNowadays, with the acceleration of the global economic integration, trades between different countries have become increasingly frequent. The economy of China and the world trade is also increasing frequently. Between the two parties in trade, how to effectively communicate and exchange is very important. Because, in international trade activities, both parties are from different countries and have different cultural backgrounds, almost have no chance to have face-to-face negotiations. In order to communicate, have the full understanding of each other and finally establish business, they will use one of the most effective and common means. Therefore, international trade activities mainly use the letter, email to communicate each other. These talks formed a special business English style-Business English Letters. Therefore, Business English Correspondence has become an important major media and bridge for communicating, conducting business and establishing friendly cooperative relations between the countries and other important business activities. To a great extent, the quality of Business English Letter determines the success of business activities, so that Business English Correspondence has become an indispensable part in foreign trade. Therefore, mastering the proper languages means and skills can promote the smooth development of business activities and promote business cooperation, even reach the final trade.1.1 Definition of Business English LetterA business English letter is a formal written communication from one or more persons to another person or persons about a specific business matter, expressed simply and economically. Letters are ambassadors for you and for your organization; you cannot put across your message in person, so your letter acts on your behalf. Ensure that your letter portray you as approachable, caring, efficient, effective and professional. An effective business letter will say what you want it to say clearly and simply. It will show respect for the readers. It will point the way ahead. It will be precise and straightforward. It will be relevant and action-centered.Business English letters have been regarded as the lifeline of modern business. It is an act of business communication by means of the written message between the businesses parties involved.1.2 Definition of Foreign TradeForeign trade is all about imports and exports. The backbones of any foreign trade between nations are those products and services which are being traded to some other location outside a particular countrys borders. Some nations are adept at producing certain products at a cost-effective price. Perhaps it is because they have the labor supply or abundant natural resources which make up the raw materials needed. No matter what the reason, the ability of some nations to produce what other nations want is what makes foreign trade work.II. The Characteristics of Business English CorrespondenceBusiness English business correspondence is different from other style of writing. It does not require too much rhetoric, but emphasize that language is concise, simple and clear. Business English letters are commonly used in business. A vital concern, the wording must be accurate and specific. If the letter has somewhat improperly, it is possible for business losses. Therefore, Business English Letters should try choosing clear, meaningful and specific vocabulary, avoiding the use of General or even blurred words, so as not to cause misunderstanding. Meanwhile, Business English Correspondence drafting requires pay attention to some factors, such as Concise Language, Clear Expression, the Polite Words, Understanding each other, Formal Style, Clear Attitude, and so on. And it must taboo to appear hesitant, timid and ambiguous terms. In addition, frequent Business Terms often appear in Business English Letters. Business English letters use more positive words, use positive and polite tone, make the information content easier to accept for each other.2.1Concise Language In business activities, time is money. Therefore, effective writing is briefeach word, sentence, and paragraph counts. Brevity means to write in a fewest possible words to express ideas avoiding long and tedious sentences. Because a wordy message requires more time to rewrite and read, business people put a high premium on conciseness in business messages. Conciseness will give emphasis to the messages. Generally speaking, short sentences are briefer than long ones. If much more information included in a letter, it can be written in paragraphs.Long words are more likely to confuse your readers. Use brief language that your reader will understand, with plain rather than long words. If your readers do not understand the words you use, they will not look up a dictionary-they will simply stop reading. Busy businessmen and women do not have time to read documents. They welcome communications that are direct and to the point while retaining. In the business register, all members must comply with the essential requirement, which is the language simple, avoiding long-winded. Simple language when expression must also pay attention to the full. So Conciseness is often considered to be the most important writing principle and language and language feature. It enables to save both the writers and the recipients time. Conciseness means we should clearly express what we would do in a short and pithy style of writing as possible as we can without sacrificing completeness, concreteness and courtesy. Compare the following pairs of sentences. A. Wordy: I wish to express my heartfelt gratitude to you for your kind cooperation.B. Concise: thank you for your cooperation.The second sentence is concise, for the writer tries to use everyday expressions and modern English, avoiding wordiness, out-of-date commercial jargons and unnecessary repeat.Business English correspondence tends to be short and no nonsense, such as: Long-winded expressions- Simple expressions Please dont hesitate to tell us - Please tell usDuring the year of 2004 -During 2004Will you be good enough - Please?Come to a decision - DecideFor the price of USD 600 - - For USD 600Due to the fact that - BecauseThe above examples abound in the Business English Correspondence. This allows the author to quickly and clearly express their meaning, thereby improving the work efficiency of both sides. If you write Business English Correspondence, written long-winded, recipients may even have no interest and patience to read on.2.2 ClearnessClearness is one of the main language features of the practical English writing. The so-called “clearness” is to make sure that what you write is so clear that it cant be misunderstood. So it is advisable to write on not above or below the level of the readers understanding and to make the reader understand the main points without thinking deeply.Therefore, when writing a business letter, when should make clear whom or what the pronoun refers to. And whats more, we should also pay attention to the relations between the relative pronoun and the antecedent, or the readers will find it difficult to understand.2.3 CourtesyWrite to rational and restrained, well-behaved, not arrogant, or rude to avoid the command. Be reasonable manner, appropriately refined, not only to respect international trade practices safeguard the national interest, but also understand to take each others demands wishes and feelings into account. Focuses on positive, certainly about the problem, try to avoid negative about the problems. Courtesy is an important language feature of international business letters. A letter expressed in the way of refined and courteous urbane can make yourself set up an honest and enthusiastic image in the eyes of the readers who will be glad to cooperate with you and serve you wholeheartedly. Courtesy not only means politeness, but also means thinking about the interests of the customers and offering the customer convenience in his work. In order to achieve courtesy, wed better use more expressions with the meaning of joy, willingness, thanks, regret, and more expressions with requesting tone and more mitigating expressions, such as please (kindly) , we are afraid that , we should (might) say , we would suggest , thank you for , we would appreciate it and so on. However, just simple polite terms such as Please, Your esteemed firm is not enough. Business English Correspondence addressed to the writers customers, or customers. Most of the recipient with a letter in different countries with each other to the other side the impression is mainly reflected from the text of the letter. A letter to new customers is more important, because the letter is to give each other the first impression. Write should be noted that the politeness principle, for example, the following:The general expression: (1) We are sorry that you misunderstood us.(2) You must give us your reply during 2 weeks.The polite expression:(1) We are sorry that we didnt make ourselves clear.(2) Would you please give us your reply during 2 weeks?By comparison of the above two sets of sentences, you can see that the first set of sentences apparently gave readers a sense of reproach and command, and it seems not polite; and the second set of sentences show us politeness, embodied in that the writer is using the tone of discussion and consultation to communicate with each other, allowing the recipient to feel respect and understanding. This letter is more easily accepted by the other party. Communicate with each other in such an attitude, even if this contact can not reach a deal, but will give each other a good impression, but also provide an opportunity for future cooperation. Of course, in the process of exchange of letters, politeness is necessary to grasp a degree. Courtesy too far may be turned into adulation, but less than expected results. 2.4 High frequency use of business terms and abbreviationsFor example: a. Please quote your lowest price CIF5% Seattle for each of following items.In the above sentence, CIF5%= Cost, Insurance and Freight inclusive of 5% commission.b. In order to conclude the transaction, I hope you will meet me half way. What about 50% by L/C and the balance by D/P?L/C is the abbreviation of Letter of CreditD/P is the abbreviation of Documents against PaymentThere are modes of paymentD/A stands for Documents against AcceptanceCAD stands for Cash against DocumentsD/D stands for Demand Draftc. we insure the goods for RMB5, 500 against WAP with PICCIn this sentence, WAP= With Particular Average, which is a kind insurancePICC=Peoples Insurance Company of China2.5 Understanding each other Understanding each other is to take into account each others needs, wishes and feelings, take the initiative to stand each others point of view, to consider for each other. In the business, Business English Correspondence and approached the same emphasis on customer is God, for the sake of God . The recipient of the Business Correspondence is a letter to clients of the people. Therefore, when writing, we must avoid (We Attitude) attitude, (You Attitude) should always treat each other and stand each others point of view taking into account each others wishes and feelings.Words appropriate to understanding each others wishes and feelings more easily accepted for the other, it tends to give each other a good impression. Therefore, in writing, to pay attention to understanding each other, this can not only reflect the writer-friendly attitude, but also will give business greater convenience in the future.2.6 Stylistic standardization With the increasing foreign trade, of the language of business correspondence are more and more standardized, not only requires words, syntax, grammar, spelling and punctuation norms out of habit, and the terms of various business activities in restraint laws, regulations and practices use, there are more clearly defined. Format as “habit” in the long term of the development of foreign trade, international practice gradually formed and accepted. Its vitality is linked with the actual business activities, their language forms, language specification and so must be for specific business services, words used for the convention, in line with international practice, recognized and accepted by business people around the world.III. Writing Principles of Business English Correspondence3.1 CorrectnessThe content of business letters has a direct interest relation between both parties benefits, so in order to avoiding some unnecessary trouble, the expression of meaning would have to complete and accurate, even the punctuation. Practical English writing for international business, especially, business letters often is bases for various commercial documents such as contracts, agreements, so they are concerned with the rights, obligation, etc. of the two sides of a trade, the fact of which must attract the writers special attention. Therefore, the expression in business letters must be correct and the facts, words and figures must be accurate and should not be overstated or understand.3.2 ConcisenessTo be accurate, thoughtful premise, applied for the expression and the true meaning of the text can not be prolix.3.3 CompletenessA business letter should be included all the necessary items, for example, the invitation letter should indicate the time, place, etc. never to send ambiguous letters. Letter to explain the matters should be specific and clear; particular attention will need to reply or the content of bilateral relations.The business English letter is very successful and highly effective well only when it contains all the necessary information to the readers (the counterpart or the public) and answers all the questions and requirements put forward by the readers.In order to verify the completeness of what you write, five “Ws” (who, what, when, where and why) and one “h” (how) should be used. For example, if what you write is a letter of order, you should make it clear what who wants to order, what he wants, when he needs the goods, where the goods to be sent and how payment will be made. If some special requirements should be put forward, you would explain why you would do so. Incompleteness of a business letter will lead to the counterparts unfavorable impression toward your firm or even the miss of a deal.3.4 Clarity The meaning of expression must be clear, avoid using uncommon words and phrases to confuse, sentence concise capable, effective place expression, statement structure simple primarily, little uses the compound sentence. 3.5 ConsiderationWriting a letter should consider others point of view and respect for each other, rather than starting form their own. For example: “You earn 2 percent discount when you pay cash. We will send you the brochure next month.” is better than “We allow 2 percent discount for cash payment.
