ReservationsareanimportantFrontOfficefunctionbecausemostguestsmakearrangementsinadvanceoftheirhotelstay.AneffectivereservationprocesscanenhancetheabilityoftheFrontOfficetoplan,tocoordinate,andtostaffFrontOfficeactivities.

Therearesixmainstepsinvolvedinthereservationprocess.First,thereservationistreceivesaninquiryinperson,overthephone,inthemail,byfax,orthroughacentralreservationsystem.Second,thereservationistcomparestheinquirywithpreviousreservationstodeterminetheavailabilityofrooms.Third,thereservationistcreatesatelephonenumber,thenumberofpeopleinaguest’sparty,theexpectedtimeofarrival,andanyspecialrequirements.Fourth,thereservationistmaintainsthereservationrecordbymakinganychangesorcancellationsasneeded.Finally,thereservationistproducesmanagementreportsthatsummarizedailyreservationsactivities.

Thereareseveraltypesofroomreservationsinourbusiness.Forguestswhowanttobecertainthatroomsareavailableupontheirarrival,thehotelcanarrangeaguaranteedreservation.Indoingso,guestsagreetopayfortheirroomseveniftheroomsarenotused.Thehotelwillholdroomsforguestsstillcheck-outtimeonthedayfollowingtheexpecteddayofarrival.Otherwisethereservationsarenon-guaranteed.Whilethereareseveraltypesofguaranteedreservations,themostcommonwayisthecreditcardguaranteedreservations,wherethehotelkeepsrecordsoftheguest’screditcardaccountnumber.

Thethirdtypeisconfirmedreservations.Itdetailstheintentofbothpartiesandincludesthematerialpointsoftheagreement.Ifthereservationismadeearlierenough,thehotelmaymailtheguestawrittenconfirmation,whichtheguestisexpectedtoproduceatregistration.
